The prime accountability of the role is the application and ongoing management of the compliance and service strategies, service dispatch systems, methodologies and tools, within the Corporate Facilities space. Ensuring all statutory and regulatory obligations are achieved, deliver best value, outstanding customer service and comply with the Department and its client policies and procedures.
Responsibilities - Manage and maintain compliance to all statutory and regulatory requirements, including essential services, building maintenance, emergency management, building evacuations and the procurement, engagement and management of third-party consultants.
- Provide strategic leadership and direction to the Helpdesk support team to ensure delivery of exceptional customer service to the department and external stakeholders.
- Develop process and reporting documentation for all corporate facility managed functions, including maintenance and services strategies, waste disposal and hazardous materials.
- Contribute to the development and delivery of Energy, Environmental and Waste Management strategies, and coordinate the identification of consumption, and the implementation of best practice reduction initiatives.
- Demonstrated knowledge of computerized work dispatch systems, and experience in the use of an application database for maintenance management and associated reporting.
- Lead and oversee the implementation of a new facilities work dispatch platform S4Hana.
- Identify opportunities for service efficiencies and driving process improvements to ensure best practice.
- Provide reports, feedback, and recommendations to the Manager on ways of improving service efficiencies and driving process improvements.
- Manage and coordinate the planning, purchasing, and delivery of contracted services to achieve outstanding performance and service outcomes.
- Lead, foster and develop a working environment that promotes a collaborative, high-performance culture that is based on the values of trust and respect for others.
Successful candidate - Proven experience managing and developing teams within a facilities service’s environment.
- Demonstrated knowledge and experience with computerized maintenance work dispatch management systems.
- Experience in managing and maintaining Facilities Management Compliance Standards for large organizations across multiple sites.
- Demonstrated understanding and experience across OH&S contractor risk management principles associated with workplace safety and minimizing potential risks.
- Deliver friendly, efficient, and prompt service to minimize client complaints and increase staff knowledge of facilities delivery within a robust business practice.
- Display excellent interpersonal and communication skills with the ability to liaise, communicate and provide advice to a wide range of stakeholders.
- Ability to handle several tasks and prioritize work within tight operational timeframes
- Uphold agreed course of action designed to meet the customer’s needs by building rapport, keeping promises, and ensuring customers are responded to in a timely manner.
