Public Sector People are recruiting for an AO3 Project Support Officer on behalf of a Queensland State Government Department.

About the Role:

Join a dynamic team of Finance Officers responsible for the smooth financial administration of approximately 500 diverse infrastructure projects. Working closely with Project Managers and alongside fellow AO3 Finance Officers, you will play a crucial role in ensuring the accurate tracking and management of financial components across around 100 projects. This is a busy and varied role where your strong administrative skills and attention to detail will be highly valued.

Key Responsibilities:

As a Finance Officer, your day-to-day tasks will include:
  • Conducting thorough governance checks to prepare and submit financial approvals.
  • Maintaining accurate and up-to-date tracking registers in Excel and SharePoint.
  • Managing project and contract details within Unifier, including contract creation, estimate and tender entry, financial approval processing, contract awarding and completion, and project finalisation.
  • Calculating and submitting initial and final QLeave payments.
  • Efficiently processing payments, encompassing governance checks, approval seeking, goods receipting, and lodgement via various portals.
  • Creating and amending purchase requisitions as required.
  • Preparing general journals accurately.
  • Ensuring meticulous recordkeeping within the Document Management System (DMS).
  • Actioning and analysing various financial reports, such as the Project Finalisation Workbook, Expenditure Commitments, and Late Payments reports.
  • Managing project finalisation steps in a timely manner.
  • Creating contracts and processing claims from service providers.
  • Providing administrative support for Grants.
  • Managing and distributing incoming mail effectively.
  • Offering guidance and training to Project Managers on relevant financial processes.
  • Contributing to End of Month duties, including reviewing justifications, preparing reports and accrual journals, and assisting with forecasting activities.
  • Performing General Ledger reconciliations for projects.
  • Actively participating in team meetings.
About You:
You are a proactive and organised individual with a strong understanding of financial administration processes. You possess excellent attention to detail and a commitment to accuracy. While this is not an accounting role, experience in Accounts Payable is highly desirable. You are a team player with strong communication skills and the ability to build positive working relationships. Familiarity with software programs such as SAP, 3PCM, and SharePoint would be advantageous.
